1. Who controls your data

Coach Seat Ltd, part of The Adams Group, is the data controller for personal data collected through this website. If you have any question about your data, contact us and we'll help directly.

2. What we collect

• Account details: name, email address, and password (stored securely, never in plain text).
• Booking details: the trips you book, seats, dates, and any details you give an operator to fulfil the trip.
• Payment information: handled by our payment provider. Coach Seat does not store your full card details.
• Operator details: for operators, business name, licence and insurance information, and payout details.
• Usage data: pages visited, general location (town or city level, from your search), and device/browser information.
• Cookies: see section 7 below.

3. Why we use it, and our legal basis

• To create and manage your account, and to process bookings (necessary to perform our contract with you).
• To pass your booking details to the operator running your trip, so they can provide the trip (necessary to perform our contract with you).
• To send you booking confirmations, e-tickets, and service messages (necessary to perform our contract with you).
• To respond to a message you send us (our legitimate interest in providing customer support).
• To understand how the site is used and improve it (our legitimate interest in running and improving the service).
• To send you marketing about trips you might like, where you've opted in (your consent, which you can withdraw at any time).
• To meet our legal and accounting obligations, for example keeping records of payments (a legal obligation).

4. Who we share it with

We share the minimum needed to run your trip with the operator running it, such as your name, contact details and passenger numbers. We share payment details with our payment processor to take payment. We don't sell personal data, and we don't share your details with other operators beyond the one running your trip, or with third parties for their own marketing.

5. How long we keep it

We keep account and booking data for as long as you have an account with us, and for a period afterwards to meet our legal, accounting and tax obligations, typically up to seven years for financial records. You can ask us to delete your account at any time, subject to the records we're legally required to keep.

6. Your rights

Under UK GDPR, you have the right to:

• Ask what personal data we hold about you, and get a copy of it.
• Ask us to correct inaccurate data.
• Ask us to delete your data, where we're not required to keep it.
• Ask us to restrict or object to certain processing.
• Ask for your data in a portable format.
• Withdraw consent at any time, where we rely on consent, for example marketing emails.

To exercise any of these rights, get in touch. If you're unhappy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies

We use essential cookies to keep the site working, for example to remember your cookie preferences and keep you signed in. With your permission, we also use analytics cookies to understand how the site is used. You can accept or decline non-essential cookies from the banner shown when you first visit, and you can change your choice at any time.

We use industry-standard measures to protect personal data, including encryption of data in transit and access controls on our systems. No system is completely secure, but we work to keep your data safe and to respond quickly if anything goes wrong.

9. Children

Coach Seat is intended for use by adults. We don't knowingly collect personal data from children, and account holders must be 18 or over.

We may update this policy from time to time. We'll post the updated version here with a new "last updated" date.
